FEATURE · VENDOR RELATIONS

Record vendor payments and always know what you owe — and what you have paid.

Nexlymate's vendor payment tracking lets you record every payment made to a supplier and match it against the corresponding bills. Clear visibility of what is owed, what is paid, and what is overdue — without a separate accounts payable system.

Nexlymate vendor payment tracking showing payment records and outstanding balances

Track what you owe every supplier

When you receive goods from a supplier, a bill is generated in Nexlymate against the purchase order. As you make payments to that supplier — by bank transfer, cheque, or any other method — you record those payments in Nexlymate and apply them against the outstanding bills.

At any point, you can see exactly what you owe each supplier, which bills have been paid in full, which are partially paid, and which are overdue. No more calling a supplier to ask how much you owe or checking a bank statement to remember whether you paid last month's invoice.

What you can do

  • Record a payment to any vendor and specify which bill or bills it applies to
  • Apply a single payment across multiple bills from the same vendor
  • Record partial payments against a bill and track the remaining balance
  • View a payment history for each vendor — every payment you have ever made to them, dated and referenced
  • See your total outstanding payables across all vendors at a glance
  • Filter bills by due date to identify which payments are most urgent

Connecting payments to purchase orders

Every vendor payment in Nexlymate traces back to the purchase order that generated the bill. This means you can see not just that you paid Rs. 45,000 to a supplier last month, but exactly which delivery that payment covered, which items were in that delivery, and what they cost per unit. Full traceability from payment to purchase to inventory.

Why this matters for cash flow

Knowing what you owe and when it is due is the foundation of cash flow management. If your vendor payables are tracked accurately in Nexlymate alongside your sales pipeline, you can plan cash outflows alongside expected sales income — and avoid the situation where a large supplier payment lands the week after a slow sales period when cash is tightest.
