FEATURE · CUSTOMER & ORDER LIFECYCLE

Handle returns cleanly, restore stock, and issue refunds without extra tools.

Returns are a normal part of running an online store. Nexlymate makes the process structured and trackable: create a return against the original order, choose the outcome (refund, store credit, or exchange), update stock, and close the loop in one place.

Returns happen — the question is whether you handle them well

A badly handled return — delayed refund, lost item, stock that never gets back into inventory — creates a dissatisfied customer, a stock discrepancy, and a financial record that does not match reality. Nexlymate's returns module structures the process so every return is traceable and every outcome is recorded correctly.

Creating a return

To create a return, find the original order in Nexlymate and initiate a return from within it. Select which items are being returned, the quantity, and the reason. The return is linked to the original order and the customer's profile, so the full picture — original order, return, and outcome — is visible in one place.

Return outcomes

  • Refund: Issue a full or partial refund to the customer. The refunded amount is recorded against the original payment method and the financial record is updated.
  • Store credit: Apply the return value as credit against a future invoice for the same customer. Useful for regular customers or B2B accounts with ongoing orders.
  • Exchange: Record a replacement item being sent in lieu of the returned one. The new item is picked from your inventory and dispatched through the normal order flow.

Restocking returned items

When a returned item is received and inspected, you can choose to restock it into your inventory. Nexlymate adds the quantity back to the correct warehouse and updates your stock levels. If the item is damaged and cannot be resold, you can mark it as written off instead — keeping your inventory accurate either way.

Return reporting

Returns are tracked in your reporting dashboard. You can see return rates per product, per period, or per customer. High return rates on a specific product may indicate a quality issue, a misleading product description, or a sizing inconsistency that is worth addressing before more orders come in and more returns follow.
