Why multiple warehouse locations need a dedicated system

Running stock across two or more locations with spreadsheets creates an immediate problem: which sheet is current? When stock moves from your main warehouse to a smaller fulfillment point, both sheets need updating manually. When a sale happens from the second location, only one sheet gets updated. Within weeks, no one is confident in the stock numbers.

Nexlymate makes each warehouse a distinct location in the system. Stock levels are tracked per location. Transfers are recorded as structured movements, not as free-text notes. Sales are automatically deducted from the correct location.

• Define multiple warehouse locations and assign each a name, address, and responsible manager
• Add stock to any location individually — a delivery that arrives at Location B does not touch Location A's count

Inter-warehouse transfers

When you move stock between locations, you create a transfer record in Nexlymate specifying the item, quantity, source warehouse, and destination warehouse. Once the transfer is initiated, the stock shows as “in transit.” When it arrives and is checked in at the destination, you confirm the transfer and the stock is added to the destination location. Nothing falls through the cracks during transit.

Fulfilment source per order

When an order comes in, Nexlymate can fulfil it from a specific warehouse or let you set a default fulfilment hierarchy. Orders for customers in Kandy might fulfil from a Kandy location first. If that location is out of stock, the system can fall back to the Colombo warehouse. This reduces courier distance, speeds up delivery, and keeps regional stock levels balanced.
