Why role-based access matters

When every team member has access to everything, mistakes are more likely — a packing staff member can accidentally change a price, a delivery coordinator can see sensitive financial reports, or a new hire can modify branding settings before they understand the system. Role-based access limits what each person can see and do to exactly what their job requires.

Three built-in roles

Owner: Full access to everything — orders, products, branding, staff management, reports, and all settings. Only the account owner holds this role by default.

Store Manager: Access to orders, products, and reports. Can manage staff accounts below their own level. Cannot change billing, payment settings, or the core account configuration.

Staff: Order processing, packing, and dispatch only. Can see and work on orders but cannot access financial reports, product pricing, or staff management.

Adding and managing staff

To add a new team member, enter their email address, choose a role, and send the invitation. They receive an email, set their own password, and can log in immediately. If someone leaves the business, you remove their access from the staff panel — their account is deactivated instantly and they cannot log back in.

Multiple stores, single login

If you operate multiple storefronts under one Nexlymate account, you can assign staff to specific stores rather than giving them access to all stores. A staff member at your Colombo store does not automatically see orders from your Kandy store unless you grant that access explicitly.

Operational benefit

Proper access control means your team can work confidently without worrying about accidentally breaking something. Your packing team can process orders without having access to pricing. Your manager can see reports without being able to change payment settings. Everyone works in the area they are responsible for, and the account owner retains clear oversight of everything.
